Cancellation & Refund Policy

Plans shift, and so do mountains. This policy sets out precisely what happens when either you or we need to change or cancel a booking, and how refunds and vouchers are worked out. It is part of your Terms & Conditions with Frontpoint Adventures.

1. Cancellation by you — process

Cancelling is fully automated. Just sign in to your Frontpoint account and follow the instructions on your dashboard, where you can pick your preferred refund method (cash or voucher) as set out below; the system then processes your refund automatically. If you run into any trouble, email us at frontpointadventures@gmail.com and we will take care of your cancellation.

2. Replacement of participant(s)

You can smoothly swap out any participant in your booking from your Frontpoint account dashboard. This option is only available while the booking status is “Paid” and at least 10 days remain before departure (departure date minus 10). The replacement participant must print, sign, scan and send the undertaking form to frontpointadventures@gmail.com.

Note that a replacement does not extend to any Volvo or train transport booked for the original participant — that will be cancelled automatically, simply because seats on those services cannot be transferred.

3. Cash refund

A cash refund applies only to bookings made without any discount (promo code, voucher or dynamic discount). It also does not apply to shifted-batch bookings or where the booking status is “Booked”. Cash refunds are processed within 7 to 14 working days.

The amount refunded follows the deduction guidelines shown in the tables below.

Every cancellation refund is returned to the bank account or credit-card account used to pay the event fee. The refundable amount is always calculated from the net amount paid* for the booking, relative to the event’s Base Price (inclusive of extras such as transport, rent, portage, and so on).

4. Voucher refund

This choice is open to every kind of booking, including those made under promotional offers or using Cancellation Vouchers.

Frontpoint Adventures will issue you a short-validity voucher that lets you book any other Frontpoint event with it. You can claim a voucher up to 10 days before the event departs. Frontpoint Vouchers apply only to treks within India and not to Nepal treks — unless the voucher was issued because a Nepal trek was cancelled. The refunded amount follows the deduction guidelines in the tables below.

As with cash refunds, the amount is always calculated from the net amount paid* for the booking relative to the event’s Base Price (including extras like transport, rent, portage, etc.). The voucher issued will not include the service-tax amount you paid at booking; however, when you redeem the voucher on our website, no service tax applies to the voucher amount. Vouchers are valid for 24 months from the date of issue.

*Net amount paid means the sum paid to Frontpoint Adventures at booking after accounting for any rebates from applied vouchers.

All add-on bookings are fully refundable, whether by cash or voucher, subject to the same refund slab and timeline.

*A voucher cannot be combined with any other promotional offer or discount.

5. Cancellation or change initiated by Frontpoint Adventures

Frontpoint Adventures may cancel your booking or alter any of the facilities, services or prices described in our brochures or on our website. We will do our best to flag any changes known at the time of booking. Because we arrange events many months ahead, minor adjustments occasionally become necessary. Transport times and carriers shown or communicated on our website are indicative only and may change. We will send the final itinerary close to departure (about 2–3 days before), together with tickets where relevant.

Adventure activities involve many factors outside our control — weather, landslides, road conditions and other force-majeure situations. “Force majeure” covers any event that neither we nor the relevant supplier could foresee or prevent even with all due care, including (by way of example, not limitation) war or the threat of war, riots, civil unrest, industrial disputes, actual or threatened terrorism and its aftermath, natural or nuclear disasters, fire, epidemics, health risks and pandemics, acts of God, unavoidable and unforeseeable technical problems with transport beyond our or our suppliers’ control, closed or congested airports or ports, hurricanes and other actual or potential severe weather, and any comparable events. In such cases we may have to change the itinerary or even cancel an event, and you will then have the choice to either:

• take a replacement event from us of equivalent or similar standard and price (as at the date of change), if we can offer one; or

• cancel your event and receive a full refund*, covering every component you paid for (transport, base fee, taxes).

*The refund will always take the form of a voucher (valid 12 months) where the change or cancellation stems from force majeure or any other cause beyond our control. For cancellations made for other reasons, you may choose between a voucher valid for 24 months or a cash refund. If you paid using a voucher, any cash refund will cover only the portion you paid in cash; the voucher you used will, however, be reactivated with an extra 12 months’ validity.

6. Changes or cancellation of the event after departure

Where a change or cancellation after departure results from force majeure or any other reason beyond our control, Frontpoint Adventures will not be liable to refund amounts already deposited.

7. Drop-out by the participant during the event

In this situation we owe no refund. The participant must also meet, on an actual-cost basis, any unplanned expenses of arranging and carrying out their withdrawal. Where a safe withdrawal cannot reasonably be arranged, Frontpoint Adventures reserves the right to refuse the drop-out mid-event.

8. Emergency evacuation

Although first aid and experts are present on all our events, an emergency evacuation may still occasionally be needed, and we are committed to getting you out safely if one arises. We will make the necessary, adequate arrangements to move you to the nearest road head with good road access and help you into a vehicle to the nearest hospital or other required facility. Any extra costs incurred — porters, vehicle, ambulance, hospitalisation or anything else related to the evacuation — are borne by the participant.
