Terms & Conditions
Please go through the following terms carefully — they form an essential part of the Participant Agreement for every event. Each event promoted in our brochures and on our website is run by Frontpoint Adventures, a company incorporated under the Indian Companies Act, 2013 (referred to below as “the Company”, “we”, “us” or “our”), and every booking is made subject to the conditions set out here.
Cancellations and refunds are covered separately in our Cancellation & Refund Policy, and the way we handle your data is explained in our Privacy Policy.
1. Insurance
Valid, sufficient outdoor-activity insurance is compulsory for every participant, whether Indian or non-Indian. You must arrange this cover before your departure date.
2. How to Book
You can book by reaching us over email or phone, through our website at www.frontpointadventures.com, or via an authorised travel agent. Whoever makes the booking must be at least 18 and hold the legal capacity and authority to do so. When someone books on behalf of others, those participants will, once the event is booked, be asked to sign an undertaking accepting the terms laid out in this agreement. Non-Indian participants may additionally have to cover any non-transferable, non-refundable charges such as National Park entry fees and permits, as required by the specific park or permit rules that apply to international travellers.
Where a booking is made through an authorised travel agent, we will handle all correspondence, changes and queries about that event exclusively through the agent.
Once we accept your booking, the Company will send you a confirmation invoice. Please review it closely and tell us of any corrections needed. The names and identity documents you supply must be legally valid and self-attested. Your travel documents and itinerary will be shared or emailed well ahead of departure, but only after the outstanding balance has been paid and any pending cheques have cleared.
Because your safety matters to us above all, you must tell us in writing at the time of booking about any condition — medical or otherwise — that needs special attention or could affect the experience of you or others during the event. You also agree to supply any information requested by government authorities, border control or security agencies for security and counter-terrorism purposes — known as Advance Passenger Information. This may include, but is not limited to, your full name exactly as it appears on your passport or travel document, along with your gender, age, nationality, and travel document type and number. For Indian nationals this may be needed only for the lead booking participant, whereas for non-Indian nationals it may be requested for everyone in the party.
2.1. Booking with a partial amount
If you secure a booking with a part-payment, the remaining balance is due no later than 30 days before the departure date (measured against the published itinerary of the event and batch you booked). Should the balance stay unpaid within that 30-day window, the booking is treated as cancelled and Frontpoint Adventures will not owe you any cash refund. You may, however, request a voucher refund, which will be handled according to our Cancellation & Refund Policy.
3. Prices & Surcharging
We keep prices for all events current on our website, but the Company may revise them from time to time. Temporary offers and promotions may run occasionally, and the Company reserves the right to launch or withdraw any of them at any point without prior notice. Anyone who has already booked under a given offer or promotion, however, will not be affected by such changes.

4. Visa, Health, Passport & Travel Documentation
Although we can offer general guidance on passports and visas, verifying the precise requirements for your chosen event and travel dates is entirely your responsibility, and you should confirm them with the relevant embassy or consulate. We accept no liability for any costs or fines arising from a failure to comply.
5. Local Laws & Customs
The laws and customs of the places we travel through can differ greatly from what you are used to. Please be mindful of how you behave so as not to cause offence, particularly at religious sites. Familiarising yourself with and respecting local laws and customs is your responsibility; if you do not, we bear no liability for any cost, loss or damage you suffer, nor will we refund any unused portion of your arrangements.
6. Leader Authority & Behaviour
Throughout any event you must respect the authority of the leader, who acts on behalf of the Company. If you break the law during the event, or if the leader or another person in authority reasonably judges your conduct to be disruptive, threatening or abusive, to cause needless inconvenience, or to risk damage, danger, distress, disturbance or annoyance to property or to others — whether by phone, in writing or in person — we may end your travel arrangements with no liability on our side. Intoxication of any kind, whether from alcohol, illegal drugs, weed or hash, is entirely prohibited on all expeditions. The leader’s judgement on this is final, and any sign of such use will render the participant unfit to continue; the leader may terminate that participant’s expedition on that basis. In none of these situations will any refund or compensation be due to you, and we will not be responsible for any costs or expenses you incur.
7. Your Accommodation
Any accommodation we arrange may be used only by the people named on your Confirmation Invoice. You may not share it or allow anyone else to stay. You are liable for the cost of any damage to the accommodation or its contents during your stay, and these charges are payable by you, possibly on the spot.
8. Special Requests
When you book, we will take account of special requests such as dietary needs or particular room arrangements, and we will let you know if a charge applies. We can only guarantee requests that either carry a charge or are confirmed by us in writing. It is up to you to notify us of any special requirements by email after confirming your booking.
A common request on our trekking events is to have backpacks carried by mules or porters. We strongly recommend carrying your own pack, since your rucksack can be a lifesaver in the mountains when the unexpected happens. That said, if someone genuinely cannot carry it or is unwell, they may offload it for a fee at the rates shown on the trek page:
• Each bag must weigh no more than 12 kg. This figure is a maximum-weight guide, but bags are counted by number when calculating the charge.
• Partial offloading is not permitted — the day count is taken as the full duration of the trek or expedition regardless of when during the trip you offload. On expeditions that need extra days for reverse logistics, 1 or 2 days may be added to that total duration.
9. Participation Requirements
Before booking, every client must be satisfied that they are fit and able to complete the itinerary of their chosen event as described. Unaccompanied minors (under 18) cannot be accepted, though those aged 10 to 17 may travel with a parent or guardian who takes full responsibility for them. Anyone with a mobility impairment, illness or disability, or undergoing treatment for any physical or mental condition, must disclose its true nature when booking and arrange for any medication or treatment they may need during the event. Failing to disclose this is a breach of these booking conditions and will result in exclusion from the event, with all monies paid forfeited. Contact us if you would like more detail.
Participants are also expected to have read and understood the eligibility criteria for the expedition they are joining, which are set out clearly on our itinerary page under the FAQs. They must fully meet those criteria — both fitness and experience — at the start of the expedition. If our ground staff find that a participant falls short on any criterion (fitness or experience), they may decline that participant at any point before or during the expedition, and in that case neither Frontpoint Adventures nor its staff will be liable to refund any fee paid.
On expeditions involving road travel, participants should take the greatest care over road-safety norms. Any lapse in road safety, or reckless riding or driving, may oblige our team to restrict, suspend or end that participant’s ride or drive.
Any equipment issued at the start of an expedition must be looked after and used responsibly throughout. If equipment provided by Frontpoint Adventures is damaged or lost, the participant is liable to compensate for that loss or damage.
10. Law & Jurisdiction
Should any dispute or difference of any kind arise between the parties in connection with or out of this agreement, the parties will negotiate in good faith to reach an amicable resolution and settlement.
All legal proceedings concerning any matter, claim, difference or dispute arising out of this agreement will be governed by Indian law, and the courts of NCT, Delhi will have exclusive jurisdiction over any resulting claim.
